Our commitment extends beyond simply arranging a trip. From your very first enquiry through to your return home, our team works to ensure every detail is handled with care, transparency and professionalism, so that your safari unfolds smoothly from start to finish.
To support a clear and fair booking process for every client, we kindly ask that you take a moment to read through the following Terms and Conditions in full before confirming your reservation. These terms outline the responsibilities, policies and expectations shared between Terrain Safaris and our clients, helping to avoid misunderstandings and ensuring a positive experience for everyone involved.
By proceeding to confirm a safari booking with Terrain Safaris, you formally acknowledge that you have read, understood and agreed to be bound by the terms and conditions set out below.

1. Bookings and Reservations
1.1 Safari Arrangements
Terrain Safaris (U) Ltd. designs and arranges safari packages that may include transportation, accommodation, meals, national park entry fees, guided activities, excursions and other travel-related services. Certain services are provided in collaboration with independent suppliers and service providers.
1.2 Itinerary Information
All information provided in our itineraries and travel proposals is prepared in good faith and based on the information available to us at the time of preparation. Although we make every reasonable effort to ensure accuracy, details supplied by third parties may change and occasional typographical or administrative errors may occur.
1.3 Information Required for Reservations
To arrange flights and gorilla permits, we require each participant’s full name as it appears in their passport, nationality and passport number. Providing a clear copy of the relevant passport page is recommended to help ensure that reservations are processed accurately.
1.4 Special Requests and Individual Requirements
Clients are kindly requested to inform Terrain Safaris of any special requirements before confirming their safari. These may include dietary preferences, medical considerations, mobility or accessibility requirements and other personal needs that may affect the arrangements. We will make every reasonable effort to accommodate such requests, subject to availability and the capabilities of the relevant service providers.
1.5 Availability and Confirmation
All safari arrangements are subject to availability. Accommodation, permits, transportation, and other services are not guaranteed until the relevant reservations have been confirmed. As many lodges and hotels have limited capacity, we strongly recommend booking well in advance, particularly during peak travel periods and holiday seasons.
1.6 Amendments to Reservations
Should you wish to amend a confirmed reservation, Terrain Safaris will make every reasonable effort to accommodate your request, subject to availability and the conditions imposed by the relevant suppliers. Any additional costs or applicable amendment fees will be communicated to you and may be added to the final invoice.
1.7 Changes to Arrangements
In the event of unforeseen circumstances, Terrain Safaris reserves the right to make reasonable adjustments to the itinerary, transportation, accommodation, or other arrangements before or during the safari. We will inform affected clients of any significant changes as soon as reasonably possible and endeavour to provide suitable alternatives where necessary.
2. Prices and Inclusions
2.1 What Is Included
Unless otherwise specified in the individual itinerary and quotation, the safari price may include:
Accommodation in hotels, lodges, guesthouses, camps, or other specified properties.
Meals as indicated in the confirmed itinerary.
Sightseeing, excursions, and activities expressly included in the itinerary.
National park entrance fees and ranger fees for the listed activities.
Airport transfers where specified.
Ground transportation in accordance with the agreed itinerary.
Services of an English-speaking driver-guide.
Bottled drinking water provided in the safari vehicle.
The precise inclusions applicable to each booking will be detailed in the confirmed itinerary and quotation.
2.2 What Is Not Included
Unless expressly stated otherwise in writing, the following expenses are excluded from the safari price:
International and domestic airfares.
Passport application or renewal fees and visa charges.
Meals not specified in the itinerary.
Beverages and drinks other than the bottled water provided in the safari vehicle.
Tips and gratuities for guides, lodge staff, and other service personnel.
Laundry services.
Travel insurance.
Personal purchases and other expenses of a personal nature.
Clients are encouraged to review their individual quotations carefully and seek clarification regarding any item they are unsure about before confirming their booking.
2.3 Price Validity
Prices published on our website or provided in preliminary quotations may change and should not be considered confirmed until the applicable rates and arrangements have been confirmed in writing.
2.4 Price Adjustments
Terrain Safaris reserves the right to revise quoted prices where necessary to reflect significant exchange-rate fluctuations or increases in the costs of accommodation, transportation, permits, or other components of the safari. We will make every reasonable effort to minimise such increases and communicate any applicable adjustments to clients.
3. Safari Operations and Service Delivery
3.1 Wildlife Viewing
Wildlife encounters take place in natural environments where animals roam freely and follow their own patterns of movement and behaviour. Although our guides make every reasonable effort to provide rewarding wildlife-viewing opportunities, sightings of particular species cannot be guaranteed.
For everyone’s safety, clients are expected to observe wildlife responsibly and follow all instructions provided by their driver-guide, park rangers and other authorised personnel.
3.2 Gorilla and Chimpanzee Tracking
Gorilla and chimpanzee permits authorise participation in the relevant tracking activity in accordance with the applicable park regulations. However, permits cannot guarantee that the animals will be seen clearly or remain visible throughout the encounter, as their movements and behaviour are naturally unpredictable.
3.3 Accommodation Arrangements
Accommodation will be arranged according to the room type and property specified in the confirmed itinerary. Depending on the booking, this may include single, twin, or double rooms, tents, cottages, or bandas. Private bathroom facilities will be provided where available at the selected property.
Family rooms may be arranged upon request, subject to availability, and may attract an additional charge.
3.4 Accommodation Substitutions
Should a selected accommodation facility become unavailable, Terrain Safaris reserves the right to propose an alternative property of equivalent or higher standard, subject to availability. Where an equivalent property cannot be secured, we may propose the most suitable available alternative.
If an alternative accommodation option involves an additional charge or a material change to the agreed arrangements, the applicable details will be communicated to the client.
3.5 Transportation and Road Conditions
The type of vehicle used will depend on the number of participants, the route, the terrain, and the requirements of the confirmed itinerary. Terrain Safaris makes every reasonable effort to provide suitable, roadworthy vehicles.
However, road conditions, punctures, mechanical breakdowns, and other unforeseen transportation difficulties may cause delays or require adjustments to the schedule. Where such circumstances arise, we will make reasonable efforts to minimise disruption and arrange appropriate solutions.
3.6 Driver-Guides and Route Decisions
Our experienced driver-guides play an important role in ensuring that each safari runs as smoothly and safely as possible. Only authorised drivers may operate Terrain Safaris vehicles.
The driver-guide may make necessary route or timing decisions in consideration of road conditions, weather, safety, access restrictions, and other operational circumstances. Clients are expected to cooperate with reasonable instructions given in the interests of safety and the proper execution of the safari.
3.7 Unforeseen Circumstances and Operational Changes
Circumstances beyond our reasonable control may require changes to the planned route, schedule, accommodation, or activities. Such circumstances may include severe weather, road closures, restricted access to national parks, accommodation disruptions, or security concerns.
Where changes become necessary, Terrain Safaris will endeavour to make suitable alternative arrangements, taking into account availability, safety, and the practical circumstances at the time.
3.8 Third-Party Service Providers
To deliver the services included in a safari, Terrain Safaris may engage independent suppliers or subcontractors to provide accommodation, transportation, activities, or other components of the itinerary.
3.9 Participant Conduct and Safety
All participants are expected to behave respectfully towards fellow travellers, guides, local communities, service providers, wildlife, and the natural environment.
Terrain Safaris reserves the right to refuse participation or discontinue the involvement of any person whose conduct creates, or is reasonably considered likely to create, a danger, significant disruption, or serious inconvenience to others, or causes damage to property or the environment. Where participation must be terminated for these reasons, refunds will not be provided under the original terms, and Terrain Safaris will not be responsible for additional expenses arising from the termination, subject to applicable law.
4. Payment Terms
4.1 Deposit and Booking Confirmation
A deposit of 30% of the total safari cost is required to confirm a safari booking, unless otherwise agreed in writing. Gorilla permits require full advance payment of the applicable permit fees before the permit reservations can be made.
4.2 Balance Payment
The outstanding balance must be paid no later than 42 days before the scheduled safari start date, unless alternative arrangements have been agreed in writing.
4.3 Bookings Made Within 42 Days of Arrival
For bookings made within 42 days of the scheduled arrival date, full payment is required at the time of confirmation, unless otherwise agreed in writing.
4.4 Late or Outstanding Payments
If the required payment is not received by the agreed deadline, Terrain Safaris reserves the right to cancel the booking, subject to the applicable booking terms and any costs already incurred.
4.5 Accepted Payment Methods
Payments may be made by bank transfer or cash, in accordance with the payment instructions provided by Terrain Safaris. All required payments must be completed before the safari begins.
4.6 Bank and International Transaction Charges
Any bank charges, transfer fees, or international transaction costs associated with making payments are the responsibility of the client. Clients should ensure that the full invoiced amount is received by Terrain Safaris.
5. Cancellations and Refunds
5.1 Cancellation Requests and Applicable Charges
All cancellation requests must be submitted in writing. A cancellation will take effect on the date the written request is received by Terrain Safaris.
The following cancellation charges apply to the basic safari programme rate:

Terrain Safaris reserves the right to deduct costs already incurred in connection with the booking, in accordance with the applicable cancellation terms.
5.2 Gorilla Permits and Air Tickets
Gorilla permits and air tickets are 100% non-refundable under the stated booking terms.
5.3 Unused Services and No-Shows
No refunds will be provided for services that are not used, including services missed because of late arrival or the failure of one or more participants to arrive as scheduled, subject to the applicable supplier conditions and applicable law.
6. Feedback and Complaints
6.1 Our Commitment to Service
At Terrain Safaris, we strive to deliver well-organised journeys and attentive service throughout every stage of the safari. We value client feedback and welcome constructive suggestions that help us continually improve our services.
6.2 Reporting a Concern
If a concern arises during the safari, clients are kindly requested to notify their Terrain Safaris representative and the relevant service provider as soon as possible. This allows us a reasonable opportunity to investigate the matter and work towards a practical resolution.
If the matter remains unresolved, a formal written complaint should be submitted to Terrain Safaris no later than 30 days after completion of the safari.
6.3 Complaints Submitted After the Specified Period
Failure to report a complaint within the stated period may affect our ability to investigate and resolve the matter. Any assessment of a complaint will be subject to applicable law and the circumstances involved.
7. Liability, Travel Documents, and Insurance
7.1 Services Provided by Independent Suppliers
Terrain Safaris makes every reasonable effort to ensure that the services arranged as part of a safari are delivered in accordance with the confirmed itinerary. However, certain services are provided by independent suppliers over whom we do not have direct operational control.
We take care when selecting our service providers and work closely with them to maintain appropriate service standards. Responsibility for any failure or omission will be determined in accordance with the applicable contractual arrangements and relevant law.
7.2 Personal Injury, Loss, or Damage
Terrain Safaris endeavours to prioritise the safety and well-being of its clients throughout the safari. Any liability relating to personal injury, loss, or damage will be determined in accordance with applicable law and the relevant circumstances.
7.3 Baggage and Personal Belongings
Clients are responsible for taking reasonable care of their baggage, valuables, and personal belongings throughout the journey. Terrain Safaris cannot guarantee against loss of or damage to personal possessions and recommends that clients take appropriate precautions and obtain suitable insurance.
7.4 Events Beyond Our Reasonable Control
Terrain Safaris cannot guarantee the uninterrupted delivery of all services where events beyond its reasonable control affect the safari. Such events may include flight delays or cancellations, civil disturbances, security incidents, border closures, government restrictions, strikes, epidemics, road closures, extreme weather, fire, natural disasters, or technical and mechanical problems affecting transportation.
Where such circumstances arise, we will make reasonable efforts to communicate with affected clients and assist with alternative arrangements where practicable. Any liability, refund, or compensation will be assessed in accordance with the applicable contractual terms and relevant law.
7.5 Travel Documents and Entry Requirements
Clients are responsible for ensuring that all participants hold valid passports, visas, permits, health certificates, and other documentation required for their safari and international travel.
We recommend checking the applicable entry and documentation requirements well in advance of departure.
7.6 Health and Safety
Clients are responsible for taking appropriate medical and practical precautions before and during their safari. We recommend seeking professional medical advice well in advance of travel, particularly when planning activities involving trekking, hiking, remote areas, or physically demanding terrain.
Clients should inform Terrain Safaris of relevant requirements that may affect the safe planning of their journey before confirming the booking.
7.7 Travel Insurance
Comprehensive travel insurance is strongly recommended for all clients. Cover should be appropriate for the planned itinerary and activities and should, where relevant, include medical expenses, emergency evacuation, trip cancellation or interruption, and loss of or damage to personal belongings.
Clients are responsible for reviewing their policy to ensure that it meets their individual needs.
7.8 Applicable Law and Jurisdiction
Liability relating to passengers transported in Terrain Safaris vehicles will be governed by the applicable laws of the relevant country. Any legal claims will be handled by the courts or other competent authorities with jurisdiction under the applicable law.
